POSITION TITLE: Meetings Specialist

RESPONSIBILITIES:

Plans, organizes and coordinates meetings, seminars and workshops held locally and nationally as assigned. Duties include food and beverage management, audio visual selection, contract negotiation, and on-site management as required. Acts as the primary contact with ANA’s headquarters hotel, duties include preliminary contract negotiations, development and management of reservation procedures, bill reconciliation, with the ANA corporate hotel, and necessary other properties. Assists in the planning and development of ANA’s House of Delegates and Biennial Convention. Conducts training and orientation for incoming ANA staff on ANA’s meeting procedures. Communicates with miscellaneous state nurses associations and other outside groups as necessary for ANA’s Convention and House of Delegates. Develops and manages the file and historical record keeping system for the department. Travels to meetings and conventions out of town to provide on-site management and support as required. Collects, evaluates and verifies accuracy of a wide variety of financial, project, program and operating information, to include budget expenditures, invoices, purchase orders, and reimbursement and per diem expenses for use in unit's daily, weekly and monthly reports. Develops and implements in-house registration system when necessary. Performs specific project or task responsibilities assigned by supervisor to insure fulfillment of unit or association deadlines and obligations on a timely basis.

QUALIFICATIONS REQUIRED:

Baccalaureate required, preferred degree in business, association management, or hotel/hospitality management. Two to Five years of experience of progressive related experience involving judgmental responsibilities, coordination and meeting management in the meetings/hospitality field. Experience with a large volume of meetings and meeting of all sizes desired. Ability to act independently, ability to coordinate and follow through on many projects concurrently; ability to work under pressure; ability to relate well with a variety of staff members, ANA officials and suppliers; ability to express ideas orally and in writing; ability to travel; computer experience; writing and editing experience.
